Managing invitations

Invite people in bulk, choose what they receive when they accept, and revoke invites that should no longer stand.

Invitations is the second tab on the Audience → Users page, next to Users. It lists everyone you've invited and what they'll receive when they accept. The number beside the tab counts pending invitations only, so it tells you how many people are still outstanding.

Sending invitations

Invite users sits at the top of the Users page and works from either tab. It opens the Send invitations dialog.

  1. Enter the addresses. Type an address and press Enter, a comma, or the spacebar to turn it into a chip. Pasting a block of text splits it on line breaks, commas, semicolons, and spaces, so you can paste a column straight out of a spreadsheet. Anything that isn't a valid address is marked invalid, and you can't send until you remove or fix it.
  2. Choose a package. The package decides what every person in the batch receives when they accept. Leave the picker empty to use your tenant's default, which the placeholder names for you.
  3. Check what they'll get. Under the picker, What they'll get lists the actions the package will run on acceptance, and says which package they came from. It warns you if you have no packages at all, if there's no package selected and no default set, or if the package you picked has no actions on it. In each of those cases the invitee accepts and receives nothing.
  4. Decide about email. Send email notification is off by default. Turn it on to email each invitee a link. Left off, the invitations are created quietly and you tell people yourself.
  5. Click Send invitations.

The package applies to the whole batch. To give people different things, send them in separate batches.

The invitations list

Search by address, and narrow with two filters:

  • Status. Defaults to Pending. Switch it to All statuses, Accepted, Revoked, or Expired.
  • Company. Limits the list to invitations tied to one company.

Both filters stay in the URL, so a filtered view is a link you can share.

The table has four columns:

  • Invitee. The email address, with the company underneath it when there is one.
  • Status. Pending, accepted, revoked, or expired.
  • Grants. What the person receives on acceptance: the package, plus Unlimited or a credit count when the invite carries credits of its own. A dash means they receive nothing.
  • Invited. The date the invitation was created.

Changing or revoking an invitation

The menu at the end of a row appears on pending rows only. Once someone has accepted, there is nothing left to change.

  • Package. Opens Invitation package, where you can attach a package, swap it for another, or Remove package. The change applies whenever that person accepts, so you can fix a batch you sent with the wrong package as long as nobody has accepted yet.
  • Revoke. Cancels the invitation and kills its link for good. There's no undo, so to re-invite someone, send a fresh invitation.

There's no resend. If an invitation went astray, revoke it and send a new one with Send email notification turned on.

Tips

  • Set a default package before you invite anyone. Without one, an invite sent with an empty picker grants nothing at all.
  • Read the Grants column after a batch. It's the only place that confirms the package actually attached.
  • Filter to Pending and sort your attention by the Invited date. Anything older than a week is usually a dead email address, not a slow reader.
